How to compress images in Word: shrink every picture at once, pick the right ppi, stop Word's auto-compression, and see the file-size drop worked out.

To compress images in Word, select any picture, open the Picture Format tab, choose Compress Pictures, clear Apply only to this picture, and pick a resolution as low as Email 96 ppi. That one dialog re-encodes every embedded photo in the document at once, and clearing that single checkbox is the whole of how to compress images in Word.

I built the browser compressor this site runs on and read image files at the byte level, so this is the honest version: the exact dialog, the resolution that actually shrinks the file, the two things every thin walkthrough skips (stopping Word's automatic compression and the paste-versus-insert bloat), and when a browser tool beats doing it in Word at all. A bloated .docx is one case of the wider job of getting images small enough for email, the web, and upload forms.

How to compress images in Word in one pass

Select any picture, and on the Picture Format tab that appears, choose Compress Pictures in the Adjust group, clear Apply only to this picture, pick a resolution, and click OK. That sequence shrinks every embedded picture in the document in a single pass, not just the one you had selected (Microsoft Support, reduce the file size of a picture). Compress Pictures in Word is the same Office tool you get in PowerPoint and Excel, so if you know one you know all three.

Here is the whole dialog before the step by step, because knowing what each control does is the difference between fixing a document and thinking you fixed it.

The five steps, in order

  1. Click any picture once. The Picture Format tab only appears when a picture is selected; if you cannot see it, that is why. On some versions you may need to double-click the image first.
  2. On the Picture Format tab, in the Adjust group, select Compress Pictures.
  3. Clear Apply only to this picture. It is checked by default, and left checked it compresses only the one picture you happened to select, the single most common reason people believe they compressed a document and changed nothing.
  4. Tick Delete cropped areas of pictures if you are done cropping. It is checked by default and it is real savings, but it is permanent once you save, covered below.
  5. Under Resolution pick a target, then click OK. Email at 96 ppi gives the smallest file. Word gives no on-screen confirmation that anything happened, so check the saved file size to verify it worked (The Training Lady, compress graphics in Word).

To compress Word document images in bulk this is the entire method. Everything else on this page is either a faster route to the same dialog, a way to make it automatic, or the decision of which resolution to feed it.

Why do Word documents balloon if Word compresses on save?

Because the automatic default keeps far more pixel data than any page can show, and it only ever runs at that one fixed target. In Microsoft 365 the default resolution is 220 ppi, and unlike PowerPoint, Word and Excel do not default to High fidelity, so the first save already downsamples pictures toward 220 ppi whether you open the dialog or not (Microsoft Support, change the default resolution). The trouble is that 220 ppi is a middle setting chosen to look fine on a printer and a screen at once, not the smallest file Word can make.

Work the pixels and it is obvious. Take a 12 megapixel phone photo, 4000 by 3000 pixels, dropped in at the full 6.5 inch text width of a Letter page with 1 inch margins. At 220 ppi that space needs about 1430 pixels across, roughly 1.5 million pixels, about 13 percent of the original 12 million. The other 87 percent is riding along in the saved file, invisible on the page. Set the same photo to Email 96 ppi and it needs about 624 pixels across, near 290 thousand pixels, under 3 percent of the original. A document with a dozen full-size photos, a few cropped screenshots, and a scanned signature adds that waste up fast, because the automatic default never drops below 220 ppi on its own.

Which resolution should you pick, HD, Print, Web, or Email?

Match the resolution to where the document is actually going, not to whatever feels safest. The four Target output options map cleanly to four destinations (Avantix Learning, compress images in Word).

The rule I use: Email 96 ppi for anything that will only ever be read on a screen or attached to a message, Web 150 ppi for a document posted online that someone might zoom slightly, Print 220 ppi only when it is genuinely going to a printer, and HD 330 ppi almost never, because it barely shrinks anything. One catch before you open the dialog expecting all four: Word only offers resolutions equal to or lower than a picture's current resolution. A screenshot or a photo already saved at 150 ppi, or downloaded pre-compressed, will never show the HD 330 ppi option, because there is no detail to add back.

What does Delete cropped areas of pictures actually remove?

It permanently discards the image data outside your crop box, in the saved file and not just on screen. If you cropped a wide screenshot down to one dialog box, the rest of that screenshot is still inside the document today, invisible but taking space, and ticking this option throws it away the moment you save. That is real savings on a file full of cropped screenshots or photos trimmed to a detail. The cost is that you can never widen the crop back out afterward. Tick it only on a document you consider finished, and keep an uncropped original of anything you might reuse. This one checkbox is why a heavily cropped document can shrink far more than its visible images suggest.

How do you stop Word from auto-compressing, or make it compress on save?

You control both behaviors from two places, and which one you want depends on whether you are chasing a smaller file or protecting quality. For a smaller file, the fastest route is to compress at the moment you save. For maximum quality, you turn the automatic compression off.

Compress every picture while you save

Go to File, Save As, click Tools next to the Save button, choose Compress Pictures, pick a resolution, click OK, and save as usual. This is a second door to the same dialog you reach from the Picture Format tab, and it is worth knowing because it catches you when you are already stopping to save rather than sending you back to click a picture first. Compression is applied when the file is saved and only to that file, so both routes do the identical job.

Set a lower default, or turn compression off entirely

Go to File, Options, Advanced, and scroll to Image Size and Quality. Set Default resolution to 150 ppi or lower for the smallest files from then on, and tick Discard editing data so Word drops the undo history stored beside cropped and resized pictures. If instead you want to protect every picture at full detail, tick Do not compress images in file, or choose High fidelity from the Default resolution list. Both keep quality and both make the file larger, which is the point when the document is headed to print. These settings live with the one document, so set them early if you are still adding photos rather than running Compress Pictures once at the end. To reduce Word file size the automatic way, lower that default; to preserve it, raise it.

Should you compress photos before you insert them, or after?

Do both when the document matters, and if you only have time for one, compress before you insert. The reason is control: Compress Pictures applies one resolution to every image uniformly, while pre-compressing lets you decide how hard each picture gets hit. Here is the payoff worked out on the site's own figures, where a 4.5 MB phone photo comes back around 0.9 MB at quality 80.

Reduce Word file size before you insert

Running each photo through a compressor at quality 80 before it goes in keeps you in control of which images get touched and by how much. A scanned signature you want crisp can stay high quality while a decorative header photo gets hit harder, a distinction Compress Pictures cannot make. Pre-compress a photo in the browser first and you decide the tradeoff picture by picture, then let Word's own dialog sweep up anything you missed. Compress Pictures is still worth running afterward as a net-wide cleanup, especially on a document someone else handed you, thick with uncompressed screenshots you never chose. This before-and-after habit is the fastest way to shrink a Word document that has already ballooned and to stop the next one from doing it.

Does compressing pictures work the same on a Mac?

Yes, with a different menu path. On Mac, go to File and choose Compress Pictures, or Reduce File Size on some versions, to compress every picture in the document at once (King's College London, compressing images in Word). You can also select an individual picture first and use Compress Pictures on the Picture Format tab, the same targeted option Windows offers. The resolution choices and the Apply-to-all logic carry over; the real difference is that the command sits on the File menu instead of behind Save As. Everything else on this page, the ppi ladder, delete cropped areas, and the pre-insert habit, applies unchanged.

Why is Compress Pictures greyed out, missing, or doing nothing?

Most often because you are in Word for the web, where Compress Pictures does not exist at all: it is a desktop-only feature regardless of your Microsoft 365 plan. If you are on the desktop app and a higher resolution looks greyed out, that is the current-resolution ceiling covered above, not a bug: the picture is already at or below that target. And if nothing seems to happen after you click OK, remember Word shows no confirmation that compression ran, so the dialog closes the same way whether it did everything or nothing. Check the file's size on disk, or run Compress Pictures, save, and compare against the previous save.

When should you skip compressing images in Word?

Skip Delete cropped areas on any document you expect to keep editing, since it forecloses re-cropping for good. Skip a low setting like Email 96 ppi on anything printed at large format or read up close on a high-resolution screen, where 96 ppi looks visibly soft in a way it never would on a normal page. And never run Compress Pictures on your only copy of a file you care about; save a copy first, because the resolution drop is not reversible after you save, only before it. Compression is the right default for documents headed to email or the web, and the wrong one for a print master.

How do I reduce the size of all images in Word at once?

Select any picture, open the Picture Format tab, and click Compress Pictures. In the dialog, clear Apply only to this picture, which is the checkbox that limits it to the one image, then pick a resolution such as Web 150 ppi or Email 96 ppi and click OK. Clearing that box is what makes the setting apply to every embedded picture in the whole document in a single pass.

Does Compress Pictures work in Word for the web?

No. Compress Pictures is a desktop-only feature and does not exist in Word for the web at all, whatever your Microsoft 365 plan. If you are editing a document only in the browser, compress the photos before you upload them, or open the file in the desktop Word app to run Compress Pictures there. There is no browser-side equivalent inside Word itself for shrinking the embedded images.

Can I undo Compress Pictures after I save the document?

Only until you save. Word applies the compression the moment you close the dialog, and Undo reverses it right up to the point you save. Once the file is saved, any picture data the dialog deleted, cropped-out regions in particular, cannot be recovered. Compress a copy of an important document rather than the only version if you might want the original detail back later.

Why don't I see the HD 330 ppi option in the dialog?

Because the picture is already at or below that resolution, including when it was downloaded pre-compressed. Word only offers targets equal to or lower than a picture's current resolution, since there is no extra pixel data to add back. If most images in a document were saved for the web already, you will often see only Web and Email as options, which is normal, not a fault.

How do I reduce the MB size of a photo before it goes in Word?

Run it through a compressor first. A 4.5 MB phone photo comes back around 0.9 MB at quality 80 with no visible loss at normal zoom, so five such photos drop from about 22.5 MB to about 4.5 MB before you type a word. Pre-compressing also lets you keep one image crisp and hit another harder, which the single-resolution Compress Pictures dialog cannot do.
